Key Responsibilities:
Office Administration:
- Coordinate and manage daily office operations.
- Oversee client parking arrangements, meeting venue preparation, and office supplies.
- Handle incoming calls, courier arrangements, and office equipment management.
- Liaise with and manage the office cleaner.
Family Office Services:
- Assist ultra-high-net-worth clients with ad hoc requests (e.g., visa/passport applications, insurance, medical aid, filing systems).
- Attend client locations for document signing.
Executive Support:
- Provide diary management for directors and senior management.
- Arrange travel itineraries, including flights and accommodation.
- Schedule monthly client meetings.
- Handle ad hoc personal requests (e.g., car servicing, restaurant bookings).
Client Administration:
- Prepare and prepopulate account-opening documentation.
Requirements:
- English as a first language with excellent written and verbal communication skills.
- Minimum 15 years’ experience in a professional environment.
- Strong MS Office and Excel skills.
- Valid driver’s licence and own vehicle.
- Clear credit and criminal record.
- Previous experience as a PA or administrator for senior management preferred.
- Ability to work under pressure with a proactive, positive attitude.
