
Executive Personal Assistant | Melrose Arch
Our Client is on the hunt for a candidate to take on the role of an Executive Personal Assistant, you will need to provide effective and efficient administrative and secretarial coordination and support to the PO and CFO.
Roles and Responsibilities:
- Represent the office of the PO/CFO to create a professional environment and image.
- Act as the gatekeeper to the PO/CFO and handle issues discreetly in their absence.
- Always uphold a confidential environment – internal and external.
- Build relationships with the relevant stakeholders – internal and external.
- Check availability and schedule appointments and meetings for the office of the PO/CFO and other Executives.
- Plan and manage the PO/CFO and other Executive’s diaries.
- Monthly minutes for Finance and Actuarial meetings.
- Quarterly minutes for Employment Equity meetings.
- Preparation of monthly Trustee invoices.
- Reconcile expense claims and ensure supporting documentation is available according to greed company policies and procedures.
- Preparation of documentation: Presentations, reports, working documents, board packs, etc.
- Minuting of meetings: e.g., Committee meetings or any other as required from time to time.
- Other administrative support ad-hoc as required.
- Research travel destinations and book travel requirements (i.e., the proximity of big cities to meeting venues).
- Ensure relevant documentation and forex are completed/obtained in line with company policies and procedures.
- Build, support, and maintain healthy diverse internal (peers/team members/managers) as well as external (service providers, etc.) relationships and implement remedial actions that were required to ensure the achievement of organizational goals.
- Provide relevant and specialized technical support, where required, to peers and colleagues to ensure the achievement of objectives.
- All duties are performed according to the company’s Medical Fund Occupational Health and Safety guidelines and procedures.
- Grade 12 /Essential
- Certification / Qualification in Business Administration / Preferred
- 3 – 5 years of relevant experience
Sound understanding and exposure to administration, minute taking, and governance processes within the services industry. Ability to deal with people at all levels while maintaining good and professional working relationships.
